Administrative and Compliance Assistant
As an Administrative and Compliance Assistant at Waypoint Port Services, you will provide administrative and operational support across legal, compliance, and corporate matters. This role is key to ensuring contracts, corporate records, compliance activities, and due diligence processes are managed accurately and efficiently.
Key Responsibilities
Assist with the preparation, review, formatting, and administration of employment, service provider, customer, and rental agreements.
Conduct legal and regulatory research related to compliance, maritime, commercial, and corporate matters.
Maintain contract databases and support contract lifecycle management, including tracking renewals, expirations, obligations, and key milestones.
Manage legal correspondence, filing systems, and document repositories, ensuring accurate record-keeping and document control.
Prepare reports, presentations, summaries, and other documentation to support legal and compliance activities.
Support compliance audits, internal reviews, and investigations through record maintenance and document collection.
Maintain and organize corporate records, licenses, permits, and other regulatory documentation.
Assist with the implementation, monitoring, and tracking of internal policies and procedures.
Coordinate with stakeholders across the business to support legal administration and respond to routine legal and compliance inquiries.
Support Know Your Customer (KYC) and due diligence processes, including background checks and collection of supporting documentation.
Monitor and track legal, compliance, and administrative deadlines, ensuring timely follow-up and completion of required actions.
Qualifications & Experience
Bachelor's degree in Legal Studies, Business Administration, or a related field.
1-3 years of experience in administrative support, compliance, contract administration, or legal support.
Exposure to contract management, document control, compliance activities, or corporate administration is an advantage.
Skills & Competencies
Strong organizational and time-management skills.
Excellent attention to detail and accuracy.
